Privacy Policy

Welcome to the Alexandria Archive app. Your privacy matters to us, and we are
committed to protecting it and to being clear and honest about the data we
collect and how we use it. This policy explains that in simple terms.

Information We Collect
We only collect what we need to run the app and serve you as a volunteer:
• Account information: your name, username, email address, password (stored
encrypted — we cannot read it), and your profile picture if you add one.
• Location: only during volunteer tours (see Section 3 for details).
• Photos and media: the photos, videos, and recordings you choose to share or
capture to document activities or for your profile.
• Messages: the content of your direct and group conversations inside the app,
to enable communication between volunteers.
• Technical information: such as your notification token (to send you alerts)
and sign-in data (last login / number of logins) for security purposes.
• Interaction & interest data: the content you view and engage with in the app (views, taps, likes, saves, and reading time) — used to build an interests profile that personalizes your recommendations ("Picked for you"). It is stored for your profile via a local identifier and is not linked to any external data.
How We Use Your Information
• To create your account and sign you in securely.
• To organize volunteer tours and tasks and enable team communication.
• To send important notifications (schedules, announcements, safety alerts).
• To improve the app and protect it from misuse.
• To personalize content and recommendations, surfacing what matches your interests across the app.
We do not sell your data to anyone, and we do not use it for advertising.
Location (Important)
• We use your location only during an active volunteer tour, to show your live
position on the map to the tour lead and team for coordination and safety.
• Tracking may continue in the background (even when the app is closed or the
screen is locked) for the duration of the tour only, so your position stays
visible to the team if your phone is in your pocket.
• You are in control: tracking stops automatically when the tour ends, you can
stop it manually at any time from inside the app, and we send you a periodic
reminder while sharing is active.
• We never track your location outside of volunteer tours.
Data Sharing
We share your data only to the limited extent necessary:
• Within the organization: your live location and activity information are
visible to the relevant tour leads and supervisors.
• Trusted service providers used solely to operate the app: image hosting
(Cloudinary) and notifications/updates (Expo). They process data on our
behalf and in line with this policy.
• Review of community posts: community posts and their images go through our own careful checking mechanisms to make sure they contain nothing offensive or inappropriate; images are checked as they upload, and images that break the rules are never stored. To carry out this check we may use a trusted technical service provider, which processes only the post's text and images — without your name or any account details — on our behalf and for this purpose alone. Safe posts are published automatically; any post in doubt is referred to our moderation team, and the details of the check are visible only to that team.
• When legally required, only if we are formally requested to do so.
Data Retention
We keep your data for as long as your account is active. When you delete your
account, we delete the personal data associated with it.
Your Rights and Control
• Access and edit: you can review and edit your profile data in Settings.
• Account deletion: you can permanently delete your account and data at any
time from "Settings → Delete account," or at https://www.alexandria-archive.com/delete-account .
This action cannot be undone.
• Permissions: you can manage location, camera, and notification permissions
from your phone settings at any time.
Data Security
We apply security measures to protect your data, including password encryption
and secure connections to our servers. While no method of transmission over the
internet is 100% secure, we do our best to protect you.
Children's Privacy
The app is intended for volunteers and is not directed to children under 12. We do not knowingly collect children's data.
Changes to This Policy
We may update this policy from time to time. We will update the "Last updated"
date above and notify you of any material changes inside the app.
